Who we are

This is the privacy statement of Fern & Co Accountants Ltd, a firm represented by its directors Nicholas Fern, Melanie Harlock and Jonathan Cryer.

This privacy statement explains how we collect and use personal information about you.

What personal information we collect

Data collected may include (but is not limited to): individuals’ contact details, date of birth, email address, marital status, National Insurance number, Unique Taxpayers Reference, bank account details, identification documents for money laundering purposes, financial and salary details, educational background, details of certificates and diplomas, education and skills, nationality, job title and CV.

Where we collect personal information from

We will collect personal data from clients, contacts, prospective clients and employees. This might come from the individual directly, from an individual’s contacts say in the course of introducing a new client to the firm, from employment agencies or from publicly available sources on the internet.

How we use your personal information

Information will be used to enable the firm to fulfil and honour its contractual obligations, to verify the identity of individuals, to establish and enable communication by post, email or telephone, to understand client needs and how they can be met, the maintenance of records, the processing of financial transactions, the prevention of crime, fraud or corruption and general regulatory compliance.

Information may also be used for the communication of relevant information to clients, contacts and employees, such as newsletters and bulletins related to tax, accountancy and associated business matters and for invitations to events. Personal Data will only be used for this purpose where specific consent has been obtained from the Data Subject or where a legitimate business interest exists, or for performance of the contract.

Who we share your personal information with

Fern & Co Accountants Ltd will only share information where it is necessary under the terms of a contract or under a legal obligation. Information may be shared with HMRC and other government bodies e.g. Companies House, a new accountant and a new employer.

How long we retain your personal information for

We will retain information in accordance with the statutory provisions and the rules of the Association of Chartered Certified Accountants. In terms of client and ex-client information this will not be less than seven years.

Holding personal information outside the EEA

Where it is necessary to host data outside of the European Economic Area, the data concerned will be treated in accordance with the regulations.
